There’s no shortage of controversy around AI and how it’s being used in the world today. People are afraid it’s going to take all the jobs away. I wonder—did people who worked with horses feel the same way when the automobile started showing up as a faster, more efficient way to get from place to place?
The truth is, AI isn’t about replacing us—it’s about equipping us. And when used well, tools like ChatGPT can do so much more than just write content. It can help you brainstorm, problem-solve, organize your processes, and save time in areas you might not have even considered.
Here are some examples of how you can use AI to streamline operations in your business:
Tackle New Projects
When a client needs something new or outside the box, ChatGPT is just a click away. Recently, a client came to me needing a way for parents to register their kids for a class, sign a waiver, and pay—all in one place. ChatGPT (aka Stella) to the rescue! We explored several options together, narrowed them down, and then I checked in with my mentor group to confirm the best solution. It saved time, money, and the client was thrilled.
Document What Works with SOPs
After finishing that project, I used Stella to help me create a Standard Operating Procedure. That way, the next time a similar need comes up, I’ve got a step-by-step plan ready to go.
If you ever find yourself saying, ‘I should write this down,’ ChatGPT can help you organize your process into a clear and repeatable document. It’s Perfect for onboarding or scaling your systems.
Cut Through Confusion When Troubleshooting
If something isn’t working the way it should, Stella is my first stop before I call tech support. She helps me troubleshoot, ask smarter questions, and get to a solution faster.
You can use ChatGPT the same way—especially when tech issues are eating up your time or you’re trying to explain something you don’t fully understand yet.
Map Out Ideas Without Getting Overwhelmed
When I’m inspired by a podcast or book, or a client throws out a new idea mid-call, I drop those thoughts into ChatGPT. It helps me organize the chaos and turn it into something actionable.
You can use AI to sort through your own idea pile—whether it’s a new offer, client workflow, or lead magnet. It’s a great way to turn inspiration into implementation.
Write Emails with More Ease
Stuck trying to write a follow-up or struggling to find the right tone? I’ll ask Stella to help me get started. It’s still my voice, just with less staring at a blank screen.
Try using ChatGPT to generate a first draft or polish up what you’ve written. It’s a great way to speed up communication without sounding robotic.
Stay Sharp for Client Meetings
If I’ve got a meeting coming up and need to refresh my memory on a tool or process, I’ll run a quick prompt through Stella to bring me up to speed.
You can use this trick to prep for client calls, especially if you’re juggling a lot of projects or tools you don’t use every day.
Turn Brain Dumps into Actionable Plans
I love a good brain dump—but wow, can they get messy. Stella helps me clean things up and turn them into structured outlines.
If your notes are scattered across sticky notes and Google Docs, paste them into ChatGPT and ask for an organized summary. You’ll feel clearer in minutes.
Answer Questions Before They’re Asked
When clients start asking the same questions more than once, I use ChatGPT to help me write a short guide or FAQ…saving me and clients time in the long run.
You can do the same for your customers or team to reduce repeated explanations and improve service.
Research Affordable Alternatives
If a client is paying too much for a tool, I’ll ask Stella to help me find a more affordable option. She’s not always perfect, but she gives me a great head start.
Try this next time you’re thinking about switching software—especially if monthly fees are adding up.
The Bottom Line
You don’t have to be tech-savvy to make ChatGPT work for you. Think of it as a creative collaborator who’s always available and never gets tired. Whether you call yours Stella or something else entirely, AI can be a powerful tool to help you do what you do best—just a little faster and with a lot less stress.
