If you’ve ever lost time searching for a login, struggled to explain a task to a team member, or felt buried under apps and files that no longer serve you, you’re not alone.
Just like moving, organizing your business systems takes planning, labeling, and a little letting go. Here’s how to start:
Start with a plan
When unpacking, we place boxes in the rooms where things will actually be used. You can do the same with your digital life—designate a “home” for your passwords, processes, important files, and email templates.
Begin with one area (or box) at a time
Don’t try to organize everything at once. Pick what’s most urgent. For many of us, that’s passwords.
Use a password manager like Bitwarden or 1Password: A password manager enables you to securely store and organize everything in one place. I use Bitwarden to manage not just my own logins, but client access too; it’s a lifesaver.
Create an Operations Folder
Set up a central “Operations” folder in Google Drive, Notion, or Trello. Store your SOPs (standard operating procedures), how-to guides, onboarding docs—anything you or a future assistant might need. This not only makes life easier for you, but sets you up for growth.
Revisit your labels
Label your folders like you’d label moving boxes. Make it something that resonates for you. Think in categories like Marketing, Admin, Finance, Client Work, etc. Color coding is helpful as well, if your platform supports it!
Clean as you go
While you’re “unpacking,” don’t be afraid to delete old files, archive outdated documents, or cancel subscriptions you no longer use. You don’t have to organize everything perfectly, just lighten the load.
Give yourself permission to go slow
You don’t need to tackle it all in a day. Pick one box, one folder, or one password list, set a timer, and make a little progress. It adds up.
