The 3-Phase Newsletter Workflow
*Use this whether you’re writing once a week or once a month. Just adjust your timeline to fit your pace!
PHASE 1: PLAN (Idea & Outline)
Pick a topic: based on questions your clients are asking, a seasonal trend, or a personal story that ties to your work.
Sketch a quick outline: Choose key points to cover in an article and decide if a free resource would enhance the message.
- Weekly Tip: Jot ideas every Friday, outline Monday.
- Bi-weekly Tip: Do both early in Week 1.
- Monthly Tip: Use the first week to plan and outline.
Bonus Tip: Ask ChatGPT or other AI for some tie in ideas if you’re struggling
PHASE 2: WRITE (Draft & Refine)
Write your intro first. Start with a story, a struggle, or a client moment.
Build out the body with helpful tips or insights that work for you or your clients.
Close with a soft call to action, if you feel it’s warranted. Offer a free resource, if it applies to the content.
Then edit. Be brief and make sure it sounds like you.
Weekly Tip: Draft mid-week, edit Friday.
Bi-weekly Tip: Draft Week 1, edit early Week 2.
Monthly Tip: Draft Week 2, review in Week 3.
PHASE 3: RESOURCE & SEND
If a free resource applies, keep it simple: checklist, tip sheet, mini-template, just something that reinforces your message.
Link to it clearly in the email.
Format the email and test it (desktop and mobile).
Schedule or hit send!
- Weekly Tip: Keep resources light (e.g., 1-pager).
- Bi-weekly Tip: Alternate between heavier and lighter resources. (e.g., heavier downloadable workbook, a series of short videos)
- Monthly Tip: Try a guide or a heavier resource, to make it memorable.
Choose the Rhythm That Works for You
Consistency doesn’t have to mean “every week.” It just means showing up when you say you will, in a way that feels doable for you. The only recommendation is not more than once a week, and not less than once a month.
Whether you’re warming up your audience or nurturing leads, this workflow gives you room to breathe, with a plan to have space to provide something you can feel good about offering.
